Employee Onboarding, Role Changes, and Offboarding (Employee Lifecycle)

When someone joins your team, changes roles, or leaves, DTC handles the technology side: accounts, email, licenses, application access, equipment, and secure data cleanup. This page explains how to request that work and includes the request form. It applies to any business we support... offices, contractors, healthcare, professional services, all of it.

The Three Request Types

Request When to use it
Onboard (Joiner) A new employee is starting. We set up their accounts, email, licenses, group memberships, and any equipment.
Change (Mover) An employee is changing role, department, manager, or location. We grant the access their new role needs and remove the access their old role had.
Offboard (Leaver) An employee is leaving. We disable access at the time you choose, handle their mailbox and files, and collect and securely wipe their equipment.

How to Submit a Request

The completed form is what starts the work. We schedule onboarding, changes, and offboarding from the details on the form, so we cannot move forward without it.

  1. Download the DTC Employee Lifecycle Form (fillable PDF)... also available in the attachments list on this page.
  2. Fill it in. Open it in Adobe Reader or your browser, type directly into the fields, and save. The form guides you top to bottom: everyone completes the request and employee sections, then follows the instructions for their request type. Fields marked with an asterisk are required.
  3. Send it back. Email the completed PDF to helpdesk@dtctoday.com, or open a ticket at my.dtctoday.com and attach it there.

If you open a ticket or call before the form is in, that is fine... we will send you the form and get everything staged, but the work itself is scheduled once we receive the completed PDF.

Give us lead time. Requests are scheduled against the effective date on your form. The earlier you submit... ideally a week or more before a start date or departure... the smoother the day goes. Same-day requests are treated as expedited.

Sensitive departure? If a termination is involuntary and the employee must not see the request, call us first at 410.877.3625. We handle these discreetly: access is disabled quietly at the exact time you choose, and the request is not visible in the portal to the departing employee.

A fully digital version of this form is coming to the client portal. Until then, the PDF is the way requests are submitted.


Equipment Returns and Secure Wipe

When equipment comes back to us or moves between people, the form's return manifest tracks every item... laptops, phones, badges, fobs, keys... including who each item goes to and who received it. Different items can go to different people.

Checking the Wipe box is permanent. Once you mark a device for wiping, assume its data is gone the moment we start working your request... there is no undo and no recovery. For devices out in the field, the wipe command runs the next time the device comes online and cannot be recalled. Save anything you need... files, photos, licenses, browser bookmarks... before you submit the form.

Every wipe follows the NIST SP 800-88 standard and is verified... after the wipe runs, we confirm the data is actually unrecoverable before the device is reused or retired. You receive a Certificate of Sanitization for each wiped device: what was wiped, how, when, by whom, the verification result, and what happened to the device afterward. Personal (BYOD) devices get a selective wipe that removes company data only... personal photos and files are untouched.

When the work wraps up, DTC signs two separate completions on the form: one confirming all accounts and access were revoked, and one confirming every flagged device was wiped and certified. You get both, in writing, on the same document you signed.
