Introduction

This guide provides step-by-step instructions for creating MSP360 (formerly CloudBerry) backup management accounts for new DTC employees. MSP360 is DTC's centralized backup monitoring and management platform used for overseeing client backup systems, storage, and data protection.

Proper MSP360 setup is essential for:

  • Backup Monitoring: View status and health of all client backup systems
  • Backup Management: Configure, modify, and troubleshoot backup jobs
  • Storage Management: Monitor backup storage usage and retention policies
  • Client Oversight: Manage backup infrastructure for multiple client organizations
  • Alerting & Reporting: Receive notifications and generate backup reports
  • Disaster Recovery: Restore data when clients experience data loss

MSP360 Account Types

MSP360 supports different account types based on user access needs:

  • Internal: For DTC employees (standard - most common)
  • External: For client users or external partners (rarely used)
  • Super Administrator: Full platform access (IT Management only)

For standard DTC onboarding, you'll be creating Internal accounts with permissions matched to the employee's technical role.

Authentication Method

Unlike other DTC systems that use SSO, MSP360 uses password-based authentication:

  • Passwords are set manually during account creation
  • Best Practice: Match the user's M365 password for consistency
  • Users log in with their email and password
  • Passwords can be changed after first login

Prerequisites

Before following this guide, ensure you have:

  • Administrator access to MSP360 portal (https://mspbackups.com/)
  • Employee's M365 account has been created
  • Employee's M365 password (to match for consistency)
  • Employee information (name, email, job title/role)
  • Understanding of DTC role structure and backup responsibilities
  • Knowledge of permission levels needed for different roles

Best Practices

Before You Begin

  1. Obtain M365 Password - MSP360 password should match M365 password for user convenience
  2. Understand Permission Levels - Different technical levels need different access. Start with minimum necessary permissions.
  3. Know Company Access Requirements - Most DTC technicians need access to all companies (clients)
  4. Verify Email Address - Email in MSP360 should match M365 email exactly
  5. Plan Password Delivery - Should be delivered securely (encrypted email, 1Password, phone call)
  6. Enable Email Notifications - "Send Email" checkbox should typically be checked

Configuration Standards

Account Type: Internal for all DTC employees

Permission Assignment by Role:

  • T1 Technicians: Basic backup monitoring and management
  • T2 Technicians: Enhanced permissions, more management capabilities
  • T3 Technicians: Advanced permissions, policy management
  • Team Leads: Elevated permissions, reporting access
  • IT Management: Administrator or Super Administrator permissions

Company Access: All companies (default for technicians)

Common Mistakes to Avoid

Don't:

  • Select "External" account type for DTC employees
  • Leave "Enabled" checkbox unchecked
  • Set weak/simple passwords
  • Forget to give access to companies
  • Assign excessive permissions to junior technicians
  • Send passwords via unencrypted methods

Do:

  • Always use "Internal" account type for DTC staff
  • Verify "Enabled" is checked before saving
  • Match M365 password for user convenience
  • Give access to all companies (standard practice)
  • Assign role-appropriate permissions
  • Verify email matches M365 exactly
  • Test login after creation

Step-by-Step Instructions

Part 1: Access MSP360 Portal

Step 1: Sign Into MSP360 Portal

  1. Navigate to https://mspbackups.com/
  2. Sign in with your MSP360 administrator credentials
  3. Wait for the MSP360 dashboard to load

Step 2: Navigate to Organization Settings

  1. Look for the Organization menu in the top navigation
  2. Click Organization to expand or open the organization menu

Step 3: Access Administrators Section

  1. Within the Organization menu, find and click Administrators

Part 2: Create New User Account

Step 4: Initiate User Creation

  1. Look for the + button next to "Administrators" heading
  2. Click the + button - a user creation form will appear

Part 3: Fill Out General Information

Step 5: Complete General Section

  1. First Name - Enter employee's first name (should match M365 account)
  2. Last Name - Enter employee's last name (should match M365 account)
  3. Email Address - Enter employee's DTC email (firstname.lastname@dtctoday.com). Must match M365 email exactly
  4. Account Type - Select Internal from the dropdown. Do NOT select "External"
  5. Password - Set password to match M365 login password (recommended)
  6. Enabled Checkbox - Leave this checkbox CHECKED (critical - allows the user to log in)
  7. Send Email Checkbox - Leave this checkbox CHECKED (sends welcome email to the user)

Part 4: Configure Permissions

Step 6: Match Permissions Based on Role

Method 1: Copy from Similar User (Recommended)

  • Identify an existing user with same role, note their permission settings, apply same to new user

T1 Service Desk View backup status/logs, monitor jobs, run manual backups, basic troubleshooting
T2 Technicians All T1 + modify configurations, create/edit plans, manage retention
T3/Senior All T2 + full backup management, storage management, advanced policy config
Team Leads All T3 + user management, reporting, billing visibility
IT Management Administrator or Super Administrator, full platform access

Part 5: Configure Company Access

Step 7: Give Access to All Companies

  • Standard Practice: Give access to ALL companies
  • Select "All Companies" checkbox or select all companies manually
  • This allows the technician to work with any client

Part 6: Create User Account

Step 8: Review All Information

Verify: name, email, Internal account type, password set, Enabled checked, Send Email checked, permissions correct, company access correct.

Step 9: Create User

  1. Click the Create User button
  2. Wait for confirmation message

Step 10: Verify User Creation

  1. Find the new user in the Administrators list
  2. Verify name, email, status (Enabled/Active), account type (Internal)

Post-Creation Actions

  1. Document Password Securely - Store in 1Password if different from M365
  2. Share Password via Secure Method - 1Password Secure Share, encrypted email, or phone call
  3. Send Welcome Message - Include MSP360 portal URL, username, and login instructions
  4. Update Onboarding Checklist - Mark MSP360 account creation as complete
  5. Confirm User Can Login - Have employee attempt to login and verify dashboard access
  6. Provide Basic Training - Show interface and role-specific tasks

Troubleshooting

Issue Solution
Email Already Exists Check for duplicate/disabled account, edit existing or delete old first
User Cannot Login Verify account is enabled, email is correct, password is right, no lockout
No Company Access Edit user, scroll to Company Access, select All Companies
Wrong Permissions Edit user, adjust permission checkboxes, save
Password Requirements Not Met Min 8 chars, uppercase, lowercase, numbers, special characters
